Land Inquiry Workflow
A real estate client was losing leads in the gap between "interested" and "qualified" — inquiries came through a form, sat in someone's inbox, and got picked up days later. I built a workflow that captures, qualifies, and routes inquiries automatically, so the sales team focuses only on conversations worth their time.

The problem
The business was generating decent inbound interest, but conversion was bleeding out. Inquiries from the website form went to a shared inbox. The sales team checked it once or twice a day. By the time a serious buyer got a callback, they'd already moved on to a competitor.
And not every inquiry was serious — sales was spending half its time qualifying tyre-kickers.
How the system works
- Captures the inquiryPulls the form submission into n8n, validates the data, and enriches it with location and budget context.
- Qualifies against rulesChecks budget, location, and intent against the client's deal criteria — labels each inquiry hot, warm, or cold.
- Routes to the right agentHot leads get assigned to the on-call agent with a one-paragraph briefing in Slack and a CRM record ready to go.
- Auto-responds to the inquirerImmediate, branded response — no more "did you see my email?" follow-ups from leads.
- Logs everythingEvery inquiry, qualification decision, and follow-up timestamp lands in Airtable for reporting.
Outcome
Response time fell from "sometime tomorrow" to under five minutes for hot leads. The sales team now spends its day on the conversations that have a real chance of closing.
